# AI Workflow Enablement Governance Boundary

## Purpose

Define what the public demonstrations may prepare routinely, what must become an exception, what requires accountable human review, what evidence must be retained, and what remains outside scope.

## Core operating principle

**Prepare routine information together. Do not invent missing facts. Isolate uncertainty, conflicts, missing ownership, and consequential decisions for accountable review.**

## Meeting Intelligence controls

- Show who was asked for an update and who responded.
- Preserve each contributor's source channel and source statement.
- Prepare clear routine facts without requiring line-by-line approval of every field.
- Keep missing responses visibly pending.
- Do not reconcile conflicting dates without explicit review.
- Do not assign an owner when the source did not establish one.
- Prevent finalization until required exceptions have an accountable next step.
- Generate the client brief, action register, and follow-up request from the reviewed state.
- Retain the selected date, assigned owner, missing-response disposition, and source inputs in the evidence export.

## Document Intake controls

- Preserve the original submission.
- Identify probable duplicates before controlled routing.
- Hold records missing required identifiers.
- Require review for uncertain classification.
- Route only after the required routine confirmation and exception decisions are complete.

## Public demonstration boundary

The public demonstrations use:

- fictional names, organizations, projects, documents, and coordination content
- deterministic pre-generated preparation and processing results
- browser-local state
- user-triggered actions and downloads
- no confidential, employer, client, medical, legal, financial, or identifying source data

They do not use:

- a production language model
- user accounts or identity services
- live calendars, email, task systems, SharePoint, Google Drive, Slack, or records platforms
- server-side storage or a durable audit database
- automatic external notification or publication
- client-specific permissions, retention rules, or approval matrices

## Production adaptation requirements

A real organizational implementation would require:

1. A named process owner and accountable reviewers
2. An approved current-state process and system-of-record map
3. Defined source channels, response expectations, and service targets
4. Approved data, retention, and deletion rules
5. Identity, permission, and least-privilege design
6. An approved model, connector, or deterministic automation architecture
7. Source-link and audit requirements
8. Representative test data and acceptance criteria
9. Error, retry, outage, ambiguity, conflict, and missing-response procedures
10. Human-review roles and publication authority
11. Security, privacy, records, legal, accessibility, and policy review as applicable
12. User training, administrator handoff, and maintenance ownership
13. Baseline and post-implementation measurement of both saved work and control burden

## High-impact exclusions

The workflow must not autonomously make legal, medical, financial, benefits, hiring, discipline, eligibility, safety, payment, permanent-deletion, contract-approval, or policy-exception decisions.
